User Directed Workflows
You can now send a form to a specific user or role after completing a section. This gives you the flexibility to choose exactly who receives the form next. Let’s walk through how to set up a form with this capability in the Form Builder.
In this example, we have two workflow steps. The goal is for the person completing step one to decide who will handle step two.
To configure this, highlight step two in the Form Builder, then click Workflow Step in the top-right corner.
From the dropdown menu, select User-Directed Workflow.
You can then assign the form to specific individuals, roles, or both. If no users are specified, the form will be available to all users in Wombat.
In this example, we’ll assign the form to Owen the Owner, Sally the Safety Attendant, and all Supervisors. You can also use the text box to add any required instructions.
Once everything is set up, click Save.
Now let’s see how it works in action. In this example, Peter the Plumber is filling out the form for step one. When he submits it, he can assign the form to Owen, Sally, and/or all Supervisors. If multiple people are selected, the form will appear in all of their To-Do lists. Once someone completes and submits the section, it will automatically be removed from everyone else’s list.
If the form is sent back for any reason, it will reappear in all assigned users’ To-Do lists, not just the person who submitted it. This ensures that nothing gets overlooked.
