Forms Library Overview

In this video we are going to walk through an overview of the Forms Library tab.

The top of the screen shows you all forms in the library. These are all forms that have been created in the system. Any forms you have that are currently in progress will be indicated below the template. In this example, you’ll see Andy the Administrator has a hazard report open which is on step two of the workflow as well as an incident report. She can open these forms directly by clicking on their title.

Clicking on the form card shows you when it was published and when it was last updated. The green circle indicates that this form is published and available for your workers. If you are an administrator you may see some forms with a yellow dot. This indicates that there is a new draft version of the form template that has not been published. This tab also enables you to edit, view all submissions and fill form. Clicking the star adds the form to your favorites and will make it show up at the top of your screen. This is handy if you use a particular form often. Clicking on the three dots enables you to edit, fill, disable and hide the form from the library, generate a QR code for the form, or delete it.

At the bottom of the page you will see a toggle called Store Forms for offline use. When toggled on, all Forms in the library will be downloaded locally to your device so you’re able to access them even if you don’t have an internet connection. If you fill out the form while you have no internet connection, all data will be stored on your device until it comes back online.

The Add New button in the top right corner allows you to create a new form. We will cover this in the Forms Builder video.

In the Active Forms Tab you are able to see all active forms in the system including the form name, description, the current step in the workflow, the owner of the form, the active user meaning the person currently active in the workflow, the due date if applicable and when it was last updated. You can sort data in the grid by clicking on a column header. Clicking on a row in the grid will open that form. Here you’re able to review all details and edit the form in its current stage of the workflow, or send it back to the previous stage. At the bottom of the form, you can view any linked entries by clicking on the arrow box or add in a comment.

The Forms Submission Tab gives you a way to see all of the data from multiple instances of the same form in a grid. Each field on the form is displayed as a column in the grid, and each row represents a specific instance of that form being filled in. You can then set filters on each column in order to find exactly what your are looking for. Clicking on a row opens that specific form instance so you can drill in and see all the details.
